Privacy policy

This policy explains how eSign Co. ("we", "us") collects, uses, shares and protects personal information when you visit esignco.ca, ask for a quote, send us another company's quote, apply for a trade account or buy a sign from us. We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and the provincial privacy laws that apply to us, including Alberta's Personal Information Protection Act and Quebec's Act respecting the protection of personal information in the private sector.

Who is responsible

eSign Co. is a Canadian-owned company. We are responsible for the personal information we collect, including information handled for us by our own production company in Shenzhen, China, and by other service providers. Our Privacy Officer is accountable for this policy. You can reach them using the contact details at the end of this page.

What we collect

• Contact details: your name, business name, email, phone number, city and province.
• Project details: sign type, size, quantity, lighting, timing, your logo and artwork, photos of your wall or site, and anything you write in a message.
• Quotes from other companies: when you use Match my quote, the quote you upload. It may contain names or details of another business. We only need the prices and specifications, so you are welcome to cover anything else.
• Order and delivery details: delivery address, site contact, order history, invoices, billing information needed to take payment, and our emails, calls and messages with you.
• Trade account details: for sign shops and installers, your company and contact details, and your client's delivery details when you ask us to ship directly to them.
• Website information: your IP address, browser and device type, and the pages you visit, recorded automatically by our servers to keep the site secure and working.

Our website is meant for businesses and adults. We do not knowingly collect personal information from children.

How we use it

• To prepare your quote and contact you with questions about it.
• To design, manufacture, inspect, crate and ship your sign, and to send you production photos and test videos.
• To arrange delivery, customs clearance and tracking.
• To provide customer service and handle warranty claims.
• To invoice you, keep accounting records and meet our legal obligations.
• To protect our website and business from fraud and misuse, and to improve our service.
• With your consent, to send you news and offers by email. Every marketing email has an unsubscribe link, and you can opt out at any time.

We only use your information for these purposes, for purposes you agree to, or as the law permits or requires.

Your consent

When you submit a form, email us or place an order, you consent to us using your information as described here. You can withdraw your consent at any time, subject to legal or contractual limits, by contacting us. If you do, we may not be able to prepare a quote or complete your order.

Who we share it with

We do not sell or rent your personal information. We share only what is needed with:

• Our production company in Shenzhen, China, which receives your artwork, specifications and the details needed to build, label and ship your sign.
• Shipping carriers, freight forwarders and customs brokers, which receive your name, delivery address, phone number and shipment details.
• Service providers that host our website, email and business systems or process payments for us.
• Professional advisers, such as accountants and lawyers.
• Authorities, when the law requires it.
• A buyer or successor, if our business is sold or reorganized, under protections similar to this policy.

Everyone we share information with must protect it and use it only to provide services to us.

Information stored outside Canada

Because every eSign Co. sign is manufactured in China, your project information and some contact and delivery details are sent to and stored at our production facility in Shenzhen. Some of our service providers may also store information in other countries, such as the United States. Information held outside Canada is subject to the laws of that country and may be accessed by its courts, law enforcement and national security authorities. We protect it with contracts and security measures, and we send only what the work requires. You can contact our Privacy Officer for more information about our use of service providers outside Canada.

Cookies

Our website uses only the cookies and similar technologies it needs to work and stay secure. We do not use advertising cookies. If we add analytics or advertising tools, we will update this policy and ask for your consent where the law requires it. Links to our Facebook, Instagram, YouTube and TikTok pages take you to those platforms, and their own privacy policies apply there.

How long we keep it

• Quote requests that do not become an order: up to 24 months, then deleted or anonymized.
• Orders and invoices: for as long as your warranty lasts and as long as tax law requires, generally six years after the end of the tax year.
• Marketing preferences: until you unsubscribe, after which we keep only what we need to respect your choice.

How we protect it

We limit access to staff who need it, use encrypted connections, protect our systems with passwords and access controls, and require our partners to keep information confidential. No system is completely secure. If a privacy breach creates a real risk of significant harm to you, we will notify you and the Office of the Privacy Commissioner of Canada and any provincial regulator as required by law.

Your rights

• Ask what personal information we hold about you and get a copy.
• Ask us to correct information that is inaccurate or incomplete.
• Withdraw your consent, including to marketing emails.
• Ask us to delete information we no longer need to keep.
• If you live in Quebec, you may also ask for your information in a commonly used technological format and ask us to stop disseminating it.

Send your request to our Privacy Officer. We may ask you to confirm your identity, and we will reply within 30 days. Requests are free in most cases.
